§ 1. General provisions
- This Terms of Service document defines the objectives, manner, and rules of using the “GoKrew” application. The following terms used herein shall have the following meanings:
- Terms of Service – this document, constituting an agreement between the User and Ultrakrew, the consolidated text of which is available at ultrakrew.pl/aplikacja.
- Ultrakrew – Ultrakrew Association, registered under KRS 0000700359, located at Gen. Kazimierza Sosnkowskiego 1C / 8, 80-041 Gdańsk, which is both the owner and administrator of the Application as well as a service provider within the meaning of theUstawa z dnia 18 lipca 2002 r. o świadczeniu usług drogą elektroniczną (t.j. Dz. U. z 2024 r. poz. 1513 z późn. zm.).
- Privacy Policy – a document supplementing the Terms of Service, providing information regarding the collection, processing, and storage of User data, available at gokrew.pl/polityka-prywatnosci.
- Device – a phone or tablet that meets the minimum technical requirements specified in the Terms of Service, operates on iOS or Android, is capable of connecting to the Internet, and has all original software updates provided by the manufacturer or software provider.
- Application – free software owned, developed, managed, and administered by Ultrakrew under the name “GoKrew”, available for Devices in the form of an application that can be obtained from Google Play, managed by Google LLC, for Devices running Android, and App Store, managed by Apple Inc., for Devices running iOS.

- Account – a collection of Services provided by Ultrakrew via the Application, accessible upon registration in the Application by providing the required data specified in the Terms of Service and accepting both the Terms of Service and the Privacy Policy. The Account belongs to the User and is necessary for using the Services.
- User – a natural person who has created an Account in the Application and has full rights to it as specified in these Terms and Conditions. The User is considered a service recipient within the meaning of the Ustawa z dnia 18 lipca 2002 r. o świadczeniu usług drogą elektroniczną (t.j. Dz. U. z 2024 r. poz. 1513 z późn. zm.).

- Services – all functionalities of the Application provided by Ultrakrew, accessible through the Application upon creating an Account. The use of Services, as well as the rights and obligations of Users arising from them, are regulated by the Terms of Service.
- Database – a database managed and administered by Ultrakrew, which serves as the storage location for all personal and other data collected through the Application and the Administrative Panel. The detailed rules for data processing and storage are outlined in the Privacy Policy. The rules for managing data within the Database by the User and Ultrakrew are defined in the Terms of Service.
- Firebase Database – a service provided and administered by Google LLC under the Firebase Realtime Database system, to which Ultrakrew has access through an online tool. It is used to store personal and other data derived from Services for Users who created an Account before updating the Application to version 2.0.0. Data from the Firebase Database is automatically transferred to the Database upon Application update and first login.

- PUSH Notification – a free, automated message sent to the User’s Device via the Application after prior permission to receive notifications in Android or iOS, or upon Account creation (for Android versions 12 or earlier)
- Workout – a set of data collected by the Application when the Workout tracking Service, as described in the Terms of Service, is active. The specific data collected during a Workout is defined in the Terms of Service and the Privacy Policy.
- Donation – data regarding a single blood or blood component donation, recorded in the Application and provided by the User. This information is not linked to any official registry. The Donation function is used to enable the proper functioning of a specific Service within the Application but is not required for other Services to function correctly. The set of Donations is utilized by Ultrakrew for statistical and analytical purposes. Under the Terms of Service, Donations are not classified as Health Data. The detailed data included in a Donation are specified in the Terms of Service and the Privacy Policy.
- Health Data – data entered into the Application regarding the User’s health condition, serving as the basis for generating health-related recommendations as described in the Terms of Service. Health Data is stored exclusively on the User’s Device and is never transmitted to the Database or Firebase Database. Ultrakrew and third parties have no access to Health Data without the User’s explicit permission. Health Data is subject to special protection.
- Blood Collection Center – an independent medical facility, unaffiliated with Ultrakrew, authorized to collect blood and its components, and included in the list available within the Application.
- The User is obliged to read, accept, and comply with the Terms of Service and the Privacy Policy in order to use the Application.
- Ultrakrew administers the Application and holds full copyrights and all other rights to it. Any distribution of the Application outside authorized stores (Google Play or App Store) constitutes a violation of the Terms of Service.
§ 2. Type and Scope of Services Provided
- Within the scope of Services offered by the Application, the User has access to the following functionalities:
- Workout tracking through activating the GPS service on the Device to collect necessary data for calculating the distance traveled and other information included in the Workout. The collected data is transmitted to the Database in the form of an anonymous total distance figure visible to all Users as a cumulative sum. Additionally, the Workout data is stored in the Database (excluding precise location data, as outlined in the Privacy Policy) in a manner accessible only to the User (Workout author) and Ultrakrew.
- Blood donation history tracking through creating a donation journal by entering the required information in the Application, as specified in the Terms of Service and Privacy Policy. This journal records the User’s Donations to calculate the next possible donation date based on applicable regulations and documents, as well as the total amount of blood donated (converted into liters of full blood). Ultrakrew commits to updating the algorithms used in the Application for determining the next donation date in accordance with the legal regulations in force in the Republic of Poland, particularly: Ustawa z dnia 22 sierpnia 1997 r. o publicznej służbie krwi (t.j. Dz. U. z 2024 r. poz. 1782), Rozporządzenie Ministra Zdrowia z dnia 11 września 2017 r. w sprawie warunków pobierania krwi od kandydatów na dawców krwi i dawców krwi (t.j. Dz. U. z 2022 r. poz. 1279 z późn. zm.) and Rozporządzenie Ministra Zdrowia z dnia 22 listopada 2024 r. w sprawie ilości oddanych składników krwi odpowiadającej litrowi oddanej krwi (Dz. U. poz. 1738). The legal basis and general implementation details of the algorithms will be published on the website or directly in the Application, along with the date of their validity. Ultrakrew emphasizes that the information displayed in the Application regarding the next possible blood donation date and the total amount of blood donated is for informational purposes only, does not constitute medical advice, and reflects the legal status as of the effective date of the Terms of Service or the date of the last algorithm update. Ultrakrew strives to ensure the accuracy and compliance of displayed data with applicable law. The process of changes and updates is governed by the Terms of Service.
- Recording, managing, and reviewing Health Data entered by the User to calculate health norms and indicators, as specified in the Terms of Service and Privacy Policy. Unless otherwise stated, Polish measurement standards and norms apply to these calculations.
- Viewing details about Blood Donation Centers available in the Application, including their contact information. Ultrakrew takes all reasonable measures to maintain the accuracy of this information and provides the date of the last modification within the Application. The data is collected from publicly available sources, primarily the websites of individual Blood Donation Centers.
- Editing or deleting the Account through the Application.
- Adjusting selected aspects of the Application, such as the frequency and number of PUSH Notifications, as well as customizing Application behavior.
- Changes to the functionality of the Services, including the introduction of new Services, may be implemented without the User’s prior consent, provided they do not alter the provisions of the Terms of Service. Information about such changes will be published in the stores providing the Application. Any changes to the Services that require modifications to the Terms of Service will be implemented in accordance with the provisions governing amendments to the Terms of Service.
- The Services are available to Users whose Devices meet the following minimum technical requirements:
- An original operating system Android version 7.1 or later, or iOS version 13.0 or later, with all officially available software updates provided by the manufacturer.
- Internet connectivity via a mobile network or Wi-Fi, which is necessary for the operation of certain Services and required at the time of Account registration, but not continuously needed while using the Application.
- The ability to communicate with a satellite GPS system by receiving signals and having location services enabled in system settings when using Services that require location data.
- Sufficient free storage space on the Device to save data.
§ 3. Rights and Obligations of the User
- The User has the right to:
- Use the Application in any manner consistent with the Terms of Service, including the right to use or refrain from using all or some of the Services.
- Modify, partially or fully delete data stored in both the Database and Firebase Database, as well as on the User’s Device, and change personal data provided during Account registration (the definition and processing of personal data are described in the Privacy Policy).
- Obtain knowledge about the data recorded and processed in the Database, Firebase Database, and on the User’s Device, as well as access such data upon request (excluding the Account password) through the Application or by submitting a request to Ultrakrew under the terms set out in the Terms of Service and Privacy Policy.
- Withdraw acceptance of the Terms of Service for any reason, which is equivalent to losing the right to use the Application and submitting a request for the deletion of collected data (except for exceptions specified in the Terms of Service and Privacy Policy).
- Receive information about the reasons for updates and the changes introduced therein.
- Share materials generated within the Application outside the Application, provided that they are marked for sharing with a green button labeled “Share” in the appropriate section of the Application, in accordance with the rules set out in the Terms of Service.
- Request a copy of their data stored in the Database and/or Firebase Database by submitting a request to Ultrakrew under the terms set out in the Terms of Service and Privacy Policy.
- Appeal any decision made by Ultrakrew concerning the User. The methods and forms of the complaint procedure are specified in the Terms of Service.
- The User is prohibited from:
- Downloading the Application from unauthorized sources, i.e., from any websites other than the AppStore or Google Play, or by manually installing the application file on their Device. Exceptions to this rule are determined solely by Ultrakrew for a selected group of Users for internal purposes, such as testing new versions of the Application.
- Creating more than one Account in the Application.
- Providing an email address that does not belong to the User or any email address to which the User does not have or will not have access in the near future.
- Sharing their Account with third parties or disclosing login credentials to their Account either publicly or privately.
- Modifying the functioning of the Application by altering its code, reverse engineering, bypassing access restrictions to any resources used by the Application, introducing software aimed to disrupt the Application’s operation, or engaging in any other actions that may harm the Application, Ultrakrew, other Users, or disrupt any of the Services.
- Sharing materials from the Application that are not marked with the green “Share” button unless they explicitly state that the material originates from the Application by including the name “GoKrew” in the shared content. Additionally, the User is prohibited from any graphic manipulation of the materials, including adding text, covering, cropping, or removing elements identifying the Application, with the intent to create the impression that the material does not originate from the Application.
- Using the Services in a manner inconsistent with the Terms of Service.
- Manipulating the GPS location of their Device to log a Workout inaccurately.
- In the event of the User’s violation of any of the rules specified in §3(2) of the Terms of Service, Ultrakrew reserves the right to disable the User’s Account following the procedure outlined in the Terms of Service. The User has the right to appeal the decision through the complaint procedure or the simplified Account deletion procedure described in the Terms of Service.
§ 4. Account
- Creating an Account in the Application is required to use the Services and constitutes acceptance of the Terms of Service and Privacy Policy. The Account allows for User identification and linking up certain data stored in the Database with the User.
- Ultrakrew collects the following User data upon Account registration:
- Account Password – The only security measure for the Account. Knowledge of the password equals access to the Account and Services. Users can change their password via a reset form sent to their registered email or directly within the Application (for the latter, knowledge of the previous password is required). Ultrakrew may enforce password length or complexity requirements.
- Email Address – Serves as the User’s identifier and the only communication channel with Ultrakrew. The email address must belong to the User and be accessible to them. It can be changed within the Application by entering a new email address and the Account password. Ultrakrew will not send promotional or marketing emails unless the User explicitly consents. The email will be used exclusively for:
- Account security-related matters,
- Contact regarding internal contests in the Application (as defined in the Terms of Service),
- User identity verification,

- Data stored in the Database and/or Firebase Database,
- Significant changes in the Services or Terms of Service that impact the Application’s functionality,
- Notifying the User about potential violations of the Terms of Service during an account suspension process.
- User’s Gender – Used to determine health data norms and blood donation eligibility, as well as for awarding gender-specific prizes in internal contests. This information is selected as either male or female and is necessary for technical reasons. Ultrakrew does not interfere with gender identity and handles gender data according to the Privacy Policy.
- User’s Date of Birth – Required for the proper functioning of certain Services. Users under 18 can create an Account only with parental/guardian consent and supervision. The provided date of birth must be accurate.
- User’s First Name – Used for personalization of Services.
- Donation Data – When using the Donation Services, the User allows Ultrakrew to process and store Donation-related data in the Database, linking it to the Account.
- Workout Data – When using Workout tracking Services, the User consents to Ultrakrew processing and storing Workout-related data in the Database, linking it to the Account. The total distance covered is also added anonymously to the cumulative kilometers of all Users.
- Health Data – When using Health Data Services, Ultrakrew stores the Health Data directly on the User’s Device.
- Anonymous Analytical Data – Ultrakrew collects anonymous analytical data to improve and analyze Application performance. This data is not linked to the Account. Details are outlined in the Privacy Policy.
- Ultrakrew uses Account-linked data solely to fulfill the Terms of Service, particularly for proper Service functionality and internal contests.

- Ultrakrew may suspend a User’s Account if they violate the Terms of Service or remain inactive (i.e. do not use any Services) for at least two years. Users may appeal the suspension through the complaint procedure, reserving the right specified in §4(6). The User will be notified of the suspension via an email sent to their registered email address.
- A suspended User has the right to request Account deletion through a simplified procedure. To use this procedure, the User must respond directly to the suspension email within 14 business days, explicitly requesting data deletion. If the Account was suspended due to a Terms of Service violation, Ultrakrew may retain the User’s email for up to 12 months to prevent bypassing the suspension rules.
- A User whose Account was suspended due to inactivity may request reactivation via email. Ultrakrew commits to reactivating the Account within 7 business days upon receiving the request.
- Workout Data linked to a suspended Account may be deleted if the suspension lasts at least 6 months. An Account may be permanently deleted after 12 months of suspension if the User does not contact Ultrakrew within that period. Before permanent deletion, the User will be notified twice, at least 14 days apart, with the final notice sent 14 to 30 days before deletion. Any User contact resets these deadlines.
- Users have the right to delete their Account and associated data, except for the exceptions specified in §4(10).
- Certain data is not deleted upon Account removal, including: the total kilometers covered in Workouts (stored anonymously), any anonymous analytical/statistical data collected by the Application. These data points remain anonymous and cannot be deleted, except in cases specified in §6 of the Terms of Service.
- Users can delete their Account using one of the following methods:
- Via the Application – By entering their password (and, if required, additional identity verification details). This method results in immediate Account deletion,
- By submitting a request to Ultrakrew through the complaint procedure outlined in the Terms of Service,
- By submitting a request to Ultrakrew as part of an appeal against Account suspension.
- Ultrakrew may grant a User „tester” privileges, providing access to additional or modified Services. Testers may be required to download a separate version of the Application via Google Play, App Store, or other means determined by Ultrakrew and must keep test-related information confidential and may not distribute materials received during testing. Ultrakrew may establish a separate tester-specific terms and conditions, which must align with the Terms of Service but may impose additional obligations and rights. Testing may be suspended or resumed at any time. Tester privileges may be granted at Ultrakrew’s discretion or according to an established tester terms and conditions.
§ 5. Purpose of the Application
- The purpose of the Application is to promote voluntary blood donation and encourage physical activity.
- Ultrakrew achieves Application’s goals by educating Users about blood donation—what it is and when they can donate blood and encouraging outdoor activity through internal contests organized within the Application.
- Ultrakrew may provide additional Services within the Application that are related but not strictly tied to the primary goals stated in point 1.
- The goals of the Application align with Ultrakrew’s official mission and statutes.
§ 6. Suspension or Termination of Application Operation
- Ultrakrew may suspend the operation of the Application in justified cases, particularly due to:
- Implementing updates, including the addition of new Services,
- Fixing a technical error that cannot be resolved while the Application is running
- Suspensions not caused by unexpected technical errors will not last longer than 24 hours.
- Ultrakrew reserves the right to delete all stored data related to Training and/or Donations, provided that Users are notified at least 90 days in advance via email. This action will only be taken if the data threatens the proper functioning of the Application (e.g., due to excessive data volume) or Ultrakrew plans to discontinue the Application or a specific Service. Ultrakrew commits to informing Users about the reasons for data deletion, and Users have the right to request a copy of their data before deletion.
§ 7. Benefits of Using the Application and Contests
- Ultrakrew may occasionally organize contests that require Users to complete a set number of kilometers to earn a reward. Information about contests and their rules will be published on Ultrakrew’s social media, the website gokrew.pl, or directly in the Application. Contests within the Application do not involve rivalry between Users. If a contest modifies the provisions of §7, particularly in terms of how prizes are awarded or communicated, Ultrakrew will establish a separate contest regulation. This regulation must comply with the general Terms and Conditions (excluding §7) and the Privacy Policy.
- Ultrakrew may award prizes based on contest conditions or randomly select winners if the number of eligible Users exceeds the available rewards. For this purpose, User data (especially Workout data) will be processed in accordance with the Privacy Policy. To deliver the prize, Ultrakrew will contact the User via the registered email address. The email must include:
- Information about the awarded prize and whether it was granted via random selection,
- A brief description of the contest, including the requirements,
- Additional data required (beyond what the Application collects) for formal or technical reasons to deliver the prize,
- A deadline for submitting the additional data, no shorter than 7 days, and the method of data submission.
- The planned prize delivery or shipping date.
- Ultrakrew will not contact Users who did not participate in a contest or who did not meet the contest requirements.
- Only Users who were at least 18 years old at the time of the competition announcement and reside in Poland can participate. No contest or prize drawing are considered games of chance under the Ustawa z dnia 19 listopada 2009 r. o grach hazardowych (t.j. Dz. U. z 2023 r. poz. 227 z późn. zm.).
§ 8.

§ 9. Complaints Procedure
- The User has the right to file a complaint regarding the non-performance or improper performance of any of the Services, especially those related to internal contests within the App.
- Complaints can be submitted in writing to the Ultrakrew Association’s address or via email to gokrew@ultrakrew.pl.
- Reports concerning technical errors in the Application submitted to Ultrakrew via the form in the Application or by email to gokrew@ultrakrew.pl are not considered complaints unless these errors result is related to an internal contest in the Application.
- By submitting a complaint, the User consents to the processing of data linked to their Account for the proper handling of the complaint. When reporting technical errors, this consent must be explicitly provided by the User.
- A complaint should contain:
- The User’s full name,
- The User’s email address linked to the Account concerning the complaint – unless the complaint is submitted electronically in the form of an email sent from the email address linked to the User’s Account,
- A description of the subject of the complaint and the period being complained about,
- Presentation of the circumstances justifying the complaint, along with documents and information supporting the validity and truthfulness of the claims.
- The User cannot demand monetary compensation for a prize not obtained in an internal contest through the complaint.
- If a complaint does not meet the requirements set out in §9(5) of the Terms of Service, Ultrakrew, if deemed necessary for the proper handling of the complaint, will ask the User to supplement it, specifying a deadline, not shorter than 7 business days, and the required scope of supplementation, with a notice that failure to supplement the complaint within the specified period will result in it being left unprocessed. The complaint will be left unprocessed after the expiration of the specified deadline.
- Complaints will not be considered if another complaint on the same matter has already been rejected, unless new circumstances arise that could affect the decision.
- Ultrakrew designates a member of the Association responsible for responding to the complaint, which will be done electronically within 14 working days from the date of submission of the complaint. The response to the complaint will include:
- Ultrakrew’s details along with contact information,
- A decision on whether the complaint is accepted or rejected,
- In the case of accepting the complaint – the subject of the accepted complaint and the manner and timing of its resolution,
- In the case of rejecting the complaint in whole or in part – the factual and legal justification,
- Information on the exhaustion of the complaint procedure and the possibility of submitting an appeal to the Board of the Ultrakrew Association.
- Ultrakrew may respond to a report of a technical error in the App and may also request consent for additional data processing to resolve the technical issue. The User should follow all instructions received from Ultrakrew after reporting a technical error before potentially filing a complaint.
- Complaints will not be processed if they only concern an error in reading GPS data, if it results from causes beyond Ultrakrew’s control, especially the technical condition of the User’s device or the physical location of the User on Earth, which prevents or hinders the correct reading of GPS data.
§ 10. Final Provisions
- Ultrakrew reserves the right to change the Terms of Service and the Privacy Policy in justified cases, particularly in the event of legal changes, technological changes, clarification of existing provisions of the Terms of Service, changes to Ultrakrew’s data, issuance of a judgment or decision, as well as when changes to the Terms and Conditions are necessary due to the introduction of a new Service or updates to existing Services. The User will be notified of any changes to the Terms of Service at least 14 days before the new provisions come into effect and will have the opportunity to familiarize themselves with the new Terms of Service. Information about the new Terms of Service will be posted on the website gokrew.pl and will also be sent by email to all Accounts that have used the App after the current Terms of Service came into force. Continued use of the App after the Terms of Service have changed constitutes acceptance of the new provisions, unless the changes concern §3 or §5 – in such cases, the User’s active, explicit consent to the new Terms of Service is required.
- Ultrakrew reserves the right to change the operation of the App and/or individual Services within it to the extent that such changes do not violate the provisions of the Terms of Service, without informing the User about the reasons or scope of such changes.
- In the event that any provision of the Terms of Service is deemed invalid, all other provisions remain in effect.
- Ultrakrew is not responsible for any damage arising from the use or inability to use the App, nor for the failure to perform its obligations under the Terms of Service, if caused by force majeure, which Ultrakrew could not have had any influence on, could not have predicted, or could not have prevented with due diligence.
- The Terms of Service are made available free of charge in a form that allows them to be acquired, reproduced, and stored. Ultrakrew also provides archived versions of the Terms of Service if changes have occurred. In the complaints process and when issuing decisions regarding internal competitions within the App, the provisions of the Terms of Service in force on the day the complaint is submitted and the day the competition is announced will apply.
- The Terms of Service are subject to the laws of the Republic of Poland. In matters not regulated by the Terms of Service, national provisions apply, in particular the Civil Code and the Ustawa z dnia 18 lipca 2002 r. o świadczeniu usług drogą elektroniczną (t.j. Dz. U. z 2024 r. poz. 1513 z późn. zm.).
- In the event of discrepancies between the language versions of the Terms of Service, the Polish version shall prevail.
- The Terms of Service come into effect on December 1, 2023.
